Job Summary

We are looking for an events management professional to manage the operational and administrative aspects of corporate event programs. You will focus on overseeing timelines, budgets, contracts, and vendor relationships to ensure events are delivered on time and within budget. You will excel at maintaining compliance and driving efficiency across all event-related processes. You will report into the Trade Show and Events Director.

 

Responsibilities

  • Develop comprehensive event project schedules, ensuring all milestones and deadlines are met.
  • Research, and select vendors; negotiate terms and maintain relationships to ensure quality and cost-effectiveness.
  • Manage vendor contracts to ensure compliance and execution.
  • Create event budgets; process vendor invoices and payments
  • Partner with other teams (finance, procurement, marketing) to align event operations with company standards
  • Maintain detailed records of contracts, budgets, and timelines; provide regular status updates and post-event financial reconciliations.

Experience and Skills

  • 3+ years of event coordination experience in a corporate environment
  • Organizational skills with the ability to manage multiple projects
  • Excellent vendor negotiation skills
  • Familiarity with contract management and budgeting tools.
  • Ability to work independently and maintain attention to detail.
  • Experience using online registration management software such as CVENT
  • Familiarity with accounting and billing processes
  • Comfortable working collaboratively as a team and sharing responsibilities of a major event with other team members
  • Demonstrated experience leading by example (exhibiting integrity, enthusiasm, and commitment to results) and promoting collaboration.
