Role Overview

We are looking for an Executive Assistant to support the CFO/COO of the Technology & Innovation (T&I) department.

You will play an important part in enabling the effectiveness of the CFO and COO functions. You will be a trusted partner, ensuring seamless execution of priorities, managing complex schedules, and supporting daily operations and projects.

You will report to the CFO/COO. This is a hybrid role out of the New York City office.

You'll have the opportunity to:

Executive Support

  • Provide high-level support, operating across multiple time zones, ensuring seamless coordination and responsiveness.
  • Participate in leadership meetings; capture clear notes, track action items, and guide follow-ups to ensure accountability and execution.
  • Build and maintain strong, effective relationships across regions to enable efficient global operations.
  • Manage complex, global calendars across multiple time zones.
  • Coordinate internal meetings and leadership engagements, ensuring prioritization.
  • Manage complex international travel arrangements, including detailed itineraries and contingency planning, and preparation requirements.
  • Provide administrative and organizational support to ensure efficient daily operations.
  • Be a gatekeeper while maintaining relationships with stakeholders.
  • Draft high-quality emails, presentations, and documents on behalf of the CFO/COO.
  • Prepare meeting materials, agendas, and follow-up actions.

Stakeholder Coordination

  • Communicate with internal stakeholders across functions and geographies to support scheduling and agreement.
  • Build working relationships across teams to ensure smooth coordination.
  • Support communication flow between the executive and their leadership teams.

Events

  • Coordinate logistics for Board meetings, leadership events, and engagements.
  • Coordinate international and domestic travel arrangements, including itineraries and logistics.
  • Support planning and coordination of leadership meetings and internal events.
  • Collaborate with venues, vendors, and service providers globally.

Experience and Skills

  • 5+ years experience supporting senior executives (C-suite leaders preferred).
  • Demonstrated ability to engage in executive-level meetings, capturing notes, driving action items, and ensuring timely follow-up.
  • Experience managing priorities and delivering high-quality support.
  • Advanced proficiency in MS Office, with an emphasis on Outlook for calendar management, meeting coordination, and email prioritization.
  • Experienced in coordinating complex domestic and international travel arrangements, including flights, accommodations, ground transportation, and detailed itineraries.
  • Demonstrate comfort and effectiveness working across geographies and working styles in a global environment.

Our compensation reflects the cost of labor across several U.S. geographic markets. The base pay range for this position is listed above. Within this range, individual pay is determined by work location and additional factors such as job-related skills, experience, and education. You will be also eligible for a variable pay opportunity.
