Role Overview

We are looking for a Bids & Tenders Administrator to support a range of tender-related administrative activities across Australia and New Zealand. You will play an important part in ensuring accurate completion of client-facing documentation, while maintaining compliance with internal governance standards and external requirements, including regulated and government environments. You will report to Bid Manager

Role Overview

The Bids & Tenders Administrator coordinates administrative processes associated with tenders, vendor due diligence, information security questionnaires, and government panel participation. You will work with team members to ensure all submissions are accurate, complete, and delivered within agreed timelines. It also contributes to process improvement and the standardisation of recurring activities.

 

Main Responsibilities

Tender & Questionnaire Coordination

  • Coordinate incoming client information security questionnaires (ad hoc and recurring), ensuring completion through engagement with relevant team members.
  • Administer vendor and due diligence questionnaires, supporting requests for corporate, operational, and compliance-related information.
  • Track deadlines and ensure all submissions meet required standards for accuracy and completeness.

Government Panel Administration

  • Support administrative activities related to government panel participation, including document preparation, submissions, and ongoing compliance reporting.
  • Maintain accurate and up-to-date records of panel requirements and documentation.
  • Partner with the ANZ Government Industry Sales Lead and commercial teams to ensure panel obligations are met.

Process Improvement & Governance

  • Identify opportunities to improve efficiency, including standardising responses and streamlining recurring administrative workflows.
  • Maintain structured documentation and ensure adherence to governance and compliance requirements.
  • Support continuous improvement programs across tender administration processes.

Experience and Skills

  • 3+ years of experience in tenders, bids, sales operations, contracts administration, or compliance support within a corporate or professional services environment.
  • Handling structured documentation and compliance submissions.
  • The ability to coordinate across geographically dispersed teams.
  • Comfortable working in a structured, process-driven environment with a focus on accuracy and governance.

Desirable

  • Experience supporting government panels, tenders, or regulated industry processes.
