Office Support & Administration Executive Assistant

This role will support the Regional Head of Internal Audit and the Global Internal Audit team in North America. It is a broad and diverse role that incorporates traditional administrative duties with report preparation for executive committees, liaison with the executive administrative team, issues management, systems administrative support, and data analysis and reporting.

The role requires the ability of a skilled administrative specialist with an aptitude to learn new systems, work effectively in a collaborative team environment and deliver excellent customer service.

Key Responsibilities

Diary, Travel and Expense Management
• Manage the diary of the Regional Head of Internal Audit proactively
• Support team meetings and room bookings
• Organize international and domestic travel arrangements
• Process team claims

Audit Project Support
• Support project resource scheduling in the region
• Support timesheet capture system and reporting
• Support the Archer audit management tool
• Support input of audit documentation into the Archer audit management tool
• Support the proactive tracking of audit observations with NA management and updates to Archer

Governance Reporting
• Prepare presentations for executive committees and executives under specific instructions
• Assemble data, compile information, and prepare reports
• Proof reports and presentations

Employee Confidential Helpline
• Support tracking and reporting of call status

• Organize team and cross-team events
• Organize team training
• Receive visitors and cover telephones
• Assist in new employee on-boarding including securing workstations, equipment, office supplies, access authorizations, and business services
• Assist in employee off-boarding
• Manage local office duties such as stationery supplies, procurement and office facilities
• Manage interface with co-source suppliers, external auditors, and client support teams
• Build strong relationships with the global GIA team
• Support the GIA Global Administrative Assistant with other activities as required

Knowledge, Experience & Qualifications
• High School Diploma or equivalent experience.
• 5-7 years of experience supporting senior level leadership and teams of professionals
• Excellent organizational skills
• Excellent oral and written communication skills
• Excellent customer service skills
• Collaborative and proactive team player
• Advanced knowledge of PC desktop applications, including Word, PowerPoint and Excel
• Ability to learn new systems quickly (e.g. resource scheduling, timesheet, document management systems)
• Comfortable with technical system tasks such as user access management
• Ability to operate a variety of types of office equipment
